Background

Founded in 1985, Amvale has been on a quest to provide the highest standard of medical transport services while expanding to other areas of healthcare, such as front-line work, vaccination support, and medical event cover. Today, Amvale employs over 500 staff members, and its operations cover Lincolnshire and Scotland in the UK.

The Challenge

Before PARiM, all of Amvale’s administrative work was done on spreadsheets, which quickly became very cumbersome, with each department having its own separate spreadsheets. The scheduling team did all of the rotas and holidays on certain documents, while there were constant back-and-forth phone calls to confirm rotas and holidays. The accounting department also calculated payroll data on spreadsheets. The monthly payroll could take two or three days to process while constantly checking in with the staff to make sure everything was correct.

The Solution

Long-term schedules and open shifts

As Amvale works with contracts that last for multiple years, PARiM lets the business quickly create long-term schedules and allocate employees to shifts for months ahead while working around staff holidays, saving valuable time. Amvale also offers its medical services to events around the UK that need a multitude of shifts quickly filled. PARiM’s open shifts function helps this: “We will publish shifts for the events and let staff self-schedule, which takes about 60% of the inputs away. And then we're filling up the remaining gaps with staff by calling them,” said Paul Kanaris from Amvale.

“Our payroll and invoicing was reduced from three days to three hours with PARiM”

Automated payroll & invoicing

In addition to rotas and scheduling, Amvale uses PARiM for its payroll and invoicing purposes as well. Using PARiM’s Pay & Charge rules functionality to set up hourly or fixed pay rates for employees and bill rates for clients, there is no more need for manual spreadsheets as PARiM provides all the necessary calculations. “Our payroll and invoicing was reduced from three days to three hours with PARiM,” said Paul.

Fair workload and productivity insights

The allocation of specific employees is now also streamlined, as Amvale can easily keep track of both worked hours and stand-by hours. This helps ensure a fair workload for all employees while also providing insight into business productivity to further optimise revenue streams and ensure healthy profits.

“PARiM’s pricing correlates to our working volume.”

Pay-per-use

One of PARiM’s unique features is its risk-free pay-per-use pricing model. Unlike most other platforms that charge businesses per employee, PARiM’s pricing is tied to shift hours while offering an unlimited staff database. This provides opportunities for adding temporary workforce contacts to the database to ensure shift coverage for larger projects. As Amvale’s Paul Kanaris put it: “PARiM’s pricing correlates to our working volume. We started using PARiM for employee hours. Then we went to billing the clients, and now we’ve moved into HR for keeping all employee details in PARiM.”
