Background
Viking Security started out in 2007 by providing internal security services for Tallinn’s oldest department store, Kaubamaja. From that, the company grew into a fully-fledged security service business and, with several acquisitions, became one of the largest and well-known security firms in Estonia. Today, the company employs over 680 staff.
The Challenge
Before moving to PARiM, Viking Security operated all staff scheduling on spreadsheets with different files for each location type. The same was true for calculating salaries, and this was even more labour-intensive, as Viking Security’s Security Manager Andrei Teivas told us: “There were occasions when at the end of the month, I was manually inputting all timesheets for each location and each employee, and this could go well into late at night. And this was the basis for both staff payroll and invoicing our clients.”
The Solution
Viking Security’s scheduling process is now quicker and simpler with all their employees' schedules in PARiM. These are easily accessible by all employees without having to worry about employees looking at the wrong spreadsheet. “We now have our shift patterns sorted, and we know that all employees have access to the correct schedules on their mobile devices at all times,” explained Andrei. “In turn, we can see every employee's job location, working time and attendance in real-time,” he added.

Viking Security was also happy to report the improvement around the visibility of shift coverage: “With PARiM, we have a great overview of all unfilled shifts, and we can now easily guarantee that all shifts are filled.” Another layer of efficiency came from reducing unnecessary communication between employees and management. “People were constantly asking managers how many vacation days they had left, and managers then had to ask this from HR,” said Andrei and added, “With PARiM app, all this can be avoided, and people can see their holiday allowances easily.”
PARiM also offers insights into productivity as well. Andrei provided this insight: “While department store shifts have fixed hours, cash-in-transit shift lengths can fluctuate. With PARiM, we can compare planned hours to real hours to maximise efficiency.” This provides Viking Security with an additional layer of insight into their workforce management for further optimisation.
